VA agencies place a client with a VA and step back. ThatVAmom operates as a managed support agency, which means I stay actively involved throughout your entire engagement. I run your discovery call, design your support map, do the three-way onboarding with you and your VA, check in every two weeks, review the engagement monthly, and handle anything that isn't working before it becomes a real problem. 2Will I be working with you, Chizoba, or with a VA?
That depends on the service you choose. Operations and Strategy is direct work with me. Managed VA Support gives you a matched, vetted VA with me actively involved throughout. Full Managed Support gives you both. In every service I'm your primary point of contact for anything that matters, and the VA works inside the system I design. Nothing is left for you to figure out on your own.
3How do you decide which VA to match me with?
I listen carefully during your discovery call, not just to the tasks you need done but to how you work, how you communicate, what pace you operate at, and what kind of working relationship would genuinely suit your business. Then I match you with a VA whose skills, style, and availability fit yours specifically. I don't hand you whoever's available, and if the match doesn't feel right after we start, you tell me, and I make it right.

5What does your involvement actually look like after the VA starts?
Before your VA starts, I design your support map covering priorities, communication rules, and scope boundaries, then run the three-way onboarding call with you both. After that, I check in with you directly every two weeks, not to review tasks alone, but to also make sure the relationship is working and nothing is drifting. I review the engagement monthly and adjust scope before anything goes sideways. Any new request outside your original scope comes through me first, any concern comes to me directly, and your VA is never left to improvise the client relationship. You're never left wondering if things are on track.
6What happens if my VA becomes unavailable?
Because I manage the relationship and not just the placement, I stay aware of your VA's capacity and flag anything that could affect your support before it affects you. If something changes on the VA's end I handle the transition, find the right replacement, manage the handover, and make sure your work continues without any disruption. You never have to navigate that situation alone.
7Can I have more than one VA?
Yes. If your workload is large, need different skill sets, or if one person would become overloaded, bringing in more than one VA makes complete sense. I manage it by keeping one shared system, giving each VA a clear lane, and maintaining one point of contact for you throughout so you experience a coordinated team.

12What does the onboarding process actually look like?
Once you've chosen your package and signed your contract, you receive a welcome email with your onboarding schedule and everything you need to prepare. For Operations and Strategy we schedule your first strategy session and get to work. For Managed VA Support and Full Managed Support, we have a three-way onboarding call, up to 45 to 60 minutes, where you, me, and your VA align completely before anything begins. The workspace is set up, priorities are confirmed, communication rules are in place, and after that we start, so you get to find the ease you so deserve.

1What's the difference between the three services?
Operations and Strategy is direct strategic work with me, no VA involved. Managed VA Support gives you a matched VA with me actively involved throughout the relationship. Full Managed Support is both running together inside one coordinated system. Every service includes my involvement at the level that fits, and nothing in any of them leaves you unsupported.
2Is everything really included in every Operations and Strategy package?
Yes. Every Operations and Strategy package includes the full scope of my expertise, from operations audits and systems design to workflow mapping, delegation planning, tech consultation, process documentation, launch planning, and ongoing strategic guidance. The only difference between packages is the number of hours available each month. No features are locked behind a higher price, and every client receives the same level of care and strategic involvement. VA execution and administrative support are not included in these packages. If you need hands-on implementation or ongoing task support, that's available through Managed VA Support or Full Managed Support.
3Can I use my VA package hours however I want?
Yes. You tell your VA what to work on through the agreed system and they get on it. No rigid task categories and no surprises about what's covered. Your hours can be used for any VA support within your agreed scope. Strategic consulting, operations planning, and direct work with me are separate and covered through Operations and Strategy or Full Managed Support.
4Do unused hours roll over?
Yes, for up to 30 days. I'll always reach out before hours expire so nothing gets wasted without your knowledge, and the rollover terms are clearly stated in your service agreement.
5Can I upgrade my package?
Absolutely. If you find you need more hours at any point just reach out, we update the agreement, sort the difference, and keep going without any interruption to your support. Starting small and growing into more is one of the most common ways clients work with ThatVAmom.
6I only need help with one specific thing. Is that okay?
Completely okay. The Supported Starter (5-hour VA) and Starter Strategy (5-hour consulting) packages exist exactly for this. A lot of clients start with something small, experience how the support works, and build from there when they're ready.
7I don't know what to delegate. Can you help me figure that out?
Yes, and you're far from alone in this. Most business owners feel exactly this way when they first reach out. Part of what I do during your discovery call and onboarding is help you identify what to hand off, in what order, and how to do it in a way that sticks. I also have a free resource that walks you through the process. Just come as you are, you don't need a task list ready before we talk.

Payments

1How does payment work?
Payment is due upfront before work begins and you'll always receive a clear invoice showing exactly what you're paying for. Full payment details are outlined in your service agreement before you sign anything, so there are never any surprises when it comes to money.
2What payment methods do you accept?
I accept secure online payments, and the available payment options will be included with your invoice. If you'd like to confirm payment methods before getting started, just ask, and I'll be happy to let you know what's currently available.
3Will I know how my hours are being used?
Always. I'm completely transparent about where your hours go and you'll receive regular time tracking updates based on what we agree in your contract. If a task ends up requiring more time than expected, I'll let you know as soon as it's identified. We'll discuss the options together, and any additional hours outside your package will need to be approved and paid for before work continues.

Contracts and Agreements

1Is there a contract?
Yes, and it's genuinely there to make things clearer and easier for you. Every ThatVAmom engagement begins with a clear, plain-language service agreement covering scope of work, hours, payment terms, confidentiality, and communication expectations. It means you always know exactly what you're getting, nothing is left to assumption, and if anything needs to change there's already a clear process for handling it. No surprises and no gray areas before we begin.
2Is the contract full of complicated legal language?
No. I kept things plainly because I believe you should be able to read and understand exactly what you're signing. If anything is unclear, just ask me before you sign, and I'll walk you through it. I want you completely comfortable before we start anything.
3How long is the commitment?
All packages are month-to-month, so you stay because the support works, not because a contract requires it. The only requirement is 30 days written notice when you decide to end the engagement, which gives us time to close properly and make sure nothing is left unfinished for you.
4What if my needs change after we start?
Businesses grow and change and that's completely fine. If your needs shift during our time together we revisit the plan and figure out what needs to adjust. I'd always rather have an honest early conversation than have either of us working inside an arrangement that no longer fits.
5Can I cancel if things change on my end?
Yes. You give 30 days’ written notice as outlined in your service agreement, and we close the engagement cleanly. I always ask for reasonable notice so nothing is left hanging for either of us.

Communication and Working Style

1How do we communicate once we start?
We agree on the right communication setup during onboarding. Options include email (always available), Slack or WhatsApp for regular back-and-forth, a shared project board for task visibility, and scheduled check-in calls at whatever frequency works for you.
2What is the task request process for my VA?
All task requests go through the agreed system, not directly to your VA through personal messages or texts. This is set up during onboarding, and it protects everyone involved. It keeps work organized, prevents scope creep, and makes sure nothing gets missed or forgotten. I monitor the system and flag anything that needs attention.
3What if I have an urgent request outside of normal hours?
Working hours and response times are clearly outlined in your service agreement from day one so there are no surprises. For genuinely urgent situations, we can discuss what that looks like case by case, and clear expectations given from the start meaning neither of us is ever left wondering where things stand.
4How much direction does my VA need from me?
Far less than most business owners expect. Before any work begins, I take time to understand your business, priorities, communication style, and goals. I then create a clear support map, establish workflows, define responsibilities, and make sure your VA has the context they need to work confidently. That doesn't mean you'll never give direction, after all, it's your business. But it does mean you're not expected to constantly manage, train, follow up, or wonder whether things are being handled properly. Many clients tell me one of the biggest surprises is how much mental space they get back. Instead of managing support, they finally get to benefit from it.
5What happens if my priorities change mid-month?
Just let me know. One of the advantages of working inside a properly managed setup is that adjustments don't require starting from scratch. We communicate the change through the system, your VA updates the priorities, and we keep moving. If the change is significant enough to affect scope we have a quick conversation and handle it properly before anything changes.

Security and Privacy

1Is my business information safe?
Completely. Your documents, logins, and business details are kept fully confidential. I use password managers and secure file sharing tools for all client work, every VA I work with is held to exactly the same standard, and confidentiality is covered explicitly in your service agreement.
2Do you sign NDAs?
Confidentiality is built into every service agreement as standard, so your business information is already protected from the moment we start. If your situation calls for a separate NDA on top of that, just mention it, and we'll get to it.
3Who has access to my accounts and information?
Only the people directly working on your business, me and your matched VA. Nobody outside of that has access, and all login credentials are stored and shared through secure password management tools, never through email or messages. You're always in control of what access is given and you can revoke it at any time.

1What if I struggle with staying organized, delegating, or keeping up with systems?
That's actually one of the most common things I hear from business owners when they first reach out, and it's nothing to be embarrassed about. A lot of people find it hard to hand things off, keep track of moving pieces, or stay consistent with systems they've built. Part of what I do from the very beginning is make sure the support is set up in a way that works with how you actually function, not how you think you should. I ask the right questions during onboarding, I keep communication clear and structured, I use visual tools and automations so things don't depend on you remembering everything, and I build processes that hold up even on your hardest weeks. You don't have to have it together before you reach out.
2Do you work with businesses at different stages of growth?
Absolutely. Some business owners reach out because they're struggling to get their operations under control. Others have grown to the point where their systems, support, and processes can no longer keep up. Wherever you are, there's a service and package that fits. My job is to meet you where you are and help you move forward from there.
3What if I'm not sure what kind of support I need?
That's completely fine and honestly more common than you'd think. You don't need to have it figured out before you reach out. Just tell me what's been feeling hard or messy in your business and we'll figure out the right fit together from there. That's part of what the discovery call is for.
